03The operations engine

The software that runs the operation — built to fit, and yours to own.

Off-the-shelf fits eighty percent and leaves the twenty that costs you hours. We build the whole system around how you actually work — one tool you own instead of four subscriptions you rent.

What it is

Custom software is one internal system built around how a business actually works — instead of a stack of disconnected SaaS that each fits eighty percent. It talks to itself, replaces the sprawl, and stays yours.

When it fits, and when it doesn’t.

A fit when

  • The business runs on spreadsheets, SaaS sprawl, and one person's memory.
  • Off-the-shelf tools fit most of the job, and the missing part — landed cost, a credit ledger, member access — costs hours weekly.
  • You'd rather own one custom system than rent four that don't talk to each other.
  • You need data kept private or on-premise, not sitting in someone else's cloud.

Probably not yet if

  • A well-supported off-the-shelf tool already covers it. Building custom would be a step backwards.
  • The workflow changes every month — we'd wait until it settles before building around it.

How we build it

01

Diagnose

We map the real workflow and where the current tools fall short.

Workflow audit
02

Design

We design the smallest system that fixes it — no feature bloat.

Build plan
03

Build

We build it to fit, integrate your POS and data, and go local-first where privacy demands it.

Working system
04

Run

We hand over exports, docs, and the keys. You own it outright.

What we build with it

Inventory & landed cost

Live stock, unit cost, and true per-container landed cost — the real margin on every product.

POS-integrated CRM

Customer files, purchase history, and credit that surface automatically — synced from your POS, not re-keyed.

Financial intelligence

Money in, money out, and profit per sale in one place — the Studio Finance build.

Memberships & access

Member portals, tiers, renewals, and access control — the system a membership business runs on.

Operations dashboards

The numbers that run the business, in one place, updated on their own.

Local-first / private

Runs on your own hardware when data can't leave the building.

The stack

  • Next.js
  • TypeScript
  • Claude (Anthropic)
  • OpenAI
  • Vercel

For finance, customer, and member-data systems we build to PIPEDA and provincial privacy expectations, and default to local-first when sensitive data shouldn't touch the cloud. The Studio Finance system runs entirely on the owner's own machine — no cloud, no subscriptions.

Questions

Can this replace the SaaS tools we already pay for?

Often, yes — that's usually the point. One custom system that does what four subscriptions did, that talks to itself, and that you own outright. We only replace a tool when the custom version genuinely does more for less, and we'll tell you when it doesn't.

Build vs buy — when is off-the-shelf better?

If a supported product covers the workflow, buy it — we'll say so. Custom earns its cost only when the missing twenty percent is costing you real time, or the tool has to fit a workflow nothing off-the-shelf matches.

Can it run without the internet or a cloud account?

Yes. When data shouldn't leave the building, we build local-first — the system runs on your own machine with no cloud dependency and no monthly subscription.

What does it cost to run?

Whatever the underlying tools charge, paid directly to them. A local-first system can cost effectively nothing to run. There's no marked-up software and no retainer.

Ready to stop doing it by hand?

We take on a few builds at a time. Send the shape of the problem and we'll reply with how we'd approach it.
